Procedure of 2nd Year SOW

Dear PI,

 

Without the time and effort from you and your team, the final review meeting and the 2nd iCAST conference can not be done. Thanks you very much. We are glad that it is over now, but at the meantime we are facing a new challenge ¡V to finish the SOW process in time for the next year. As I advocated for months, this is a two-month process ¡V from early May to late June. To minimize the miscommunication, I want to re-iterate its process with the timelines as follow:

 

1.      For each project, its PI or his/her representative (PI, hereafter) should be responsible for this process and act as the single contact with their counterpart in CMU or UCB.

2.      Early May: PI should call the meeting within the project if necessary to consolidate their ideas and draw the SOW draft within iCAST missions, scope, and guidelines.

3.      Mid May: PI should also initiate the discussion with their prospective CPI to review and revise the SOW draft but without compromise the iCAST missions.

4.      Late May: Thanks to Professors Chuang, Shieh, and Laih leading the further discussions with both CMU and UCB about the SOW draft into more details for each group during their US visiting.

5.      Early June: More project meetings are held during the iCAST conference time to have the face-to-face discussion about the SOW and the future collaboration

6.      Now: It is time for you to submit your ¡§refine¡¨ version of SOW to me. Then I will consolidate them together, and finally DT can make the final call on the funding issue prior to signing the agreement for the next year.

7.      By late June: Finalize the SOW and CPI (to have the near-final version), and sing the agreements for the 2nd year ¡V done by late June.

8.      By mid August: Make the last-minute, but minor only, modification if necessary during the Kick-off meeting in August.

 

Please also note

1.      I am responsible to design and monitor the process, coordinate all parties, consolidate and summarize all data (including our team¡¦s wish list), and finally DT will make the final call on funding issues. Please keep me inform for milestone progress and, in particular, any difficulty you may have.

2.      Your SOW (and wish list) is not finalized until its funding is proved.

3.      Karen and Seliya will assist me on all administrative issues including following up the SOW submittal status. They will call you and give you a friendly reminder when to submit what document. Your corporation will be appreciated, and your suggestions are always welcome. Please call me (02-2730-1258) if you still have any question on this process.

4.      Please ask Karen for (02-2736-2287 ext. 10) all administrative assistances.

5.      To build iCAST theme and road-map for all three major areas and then the whole iCAST, Professors Wu, Shieh, and Laih will continue call the group meeting as needed to accomplish this challenge. Please do include all PIs within your group and me in the meeting list.
